Add a product

Track stock for something you buy or sell — set a reorder level to get flagged when it's running low.

Record a stock movement

Log a manual stock-in, stock-out, or correction for an existing product. (Purchases and sales linked to a verified record or invoice are recorded automatically — this is for everything else.)

Product photos

Add up to 6 pictures per product so anyone on the team can tell items apart at a glance. The first photo is the main one shown in your stock list. Photos are private to your business.

Transfers between sites

Move stock between branches and warehouses in steps: ask, approve, send, receive. Goods on the road stay in your total stock and books until the other site receives them, and anything that doesn't arrive is recorded as missing until you write it off or send it back.

Bin and shelf locations

Say where each product is kept at a site, like A-01 or Cold room 3. The first bin is the main one. Transfer notes show where to pick the goods and where they were put away. Bins are only for finding stock: they don't change your stock figures or your books.

One row per product for the site chosen above: its SKU (or exact product name) and its bins, separated by semicolons, main bin first. For example W-1,A-01; B-02. A header row (sku, bins) is welcome. A product's bins are replaced by its row; products you leave out and rows with no bins are not changed. If any row has a problem, nothing is imported and the rows to fix are listed.

Reorder planning

Worked out from what sold in the last 12 months: safety stock, the reorder point, and how much to order. Choose a branch or warehouse to plan for that site alone, from its own sales and its own units; leave it on the whole business for the combined figures. A figure that needs an input you haven't given is left blank and the input is named. Plans only suggest: they move no stock and post nothing to your books.

Reorder levels by site

Set the level at which a branch or warehouse should reorder a product. When the units at that site fall to its level, you get a low-stock alert naming the site. Your usual whole-business reorder level and its alerts are not changed. Leave a level blank for none. Levels are only alerts: they don't change your stock figures or your books.

One row per product for the site chosen above: its SKU (or exact product name) and the reorder level. For example W-1,25. A header row (sku, reorder level) is welcome. A blank or 0 level removes that product's level at the site; products you leave out are not changed. If any row has a problem, nothing is imported and the rows to fix are listed.

Stock count

Count what is on the shelves and compare it with what the system shows. Applying the count corrects stock by the difference: shortages are written off at average cost, extra units are counted but not valued.

Batches and expiry

Stock is sold first-expiry-first, and never from a batch that has expired. Cost stays the average price you paid. Give a batch number and expiry date when you receive stock (on a bill, a purchase order receipt, or Stock in above).

Stock value

What your stock is worth, checked against the stock figure in your books. Sales are costed at the average price you paid, or at the price of your oldest stock first (FIFO), whichever you choose below.
