Tax and filing

Tax filing without the retyping.

eTIMS invoices and VAT, PAYE and PPB filings, built from the records you've already captured. Nothing is typed twice.

Sends your invoices to KRA through eTIMS. Once an invoice is final, Hesalio sends it and keeps KRA's signed receipt with it.

  • KRA

KRA and eTIMS are names of the Kenya Revenue Authority. Hesalio is an independent integration and is not affiliated with or endorsed by the Authority.

02

Understand

Hesalio reads the vendor, amount, VAT, product and date for you.

03

Verify

Hesalio scores how sure it is. Clear records pass automatically after a rules check. Anything uncertain goes to a person on the Hesalio team.

04

Confirm

You review the filing and confirm it once. This is the only step that can't be undone.

05

Filed

Invoices and PPB filings are sent directly where a live connection exists. VAT and PAYE are prepared for you to file on iTax, then you record KRA's acknowledgement. Hesalio never marks a filing as submitted unless it was.

Why it saves time

One record, used again and again.

Once a record is checked for filing, it also updates your monthly figures and warns you early about cash problems. If you agree, a bank or regulator can see a limited part of it. Tax is where most businesses start, because it comes round every month. It isn't all Hesalio does.

Words you will see

Tax terms, in plain words.

Kenyan tax has its own vocabulary. This is what each term means in Hesalio.

eTIMSKRA's electronic tax invoice system. Hesalio sends your invoices to it and keeps KRA's signed receipt with each one.
iTaxKRA's online tax portal. Where Hesalio cannot file directly, it prepares the figures for you to file there.
VATValue added tax. Hesalio works out what you charged and what you paid, from your checked records.
PAYETax taken from employees' pay. Hesalio calculates it in payroll and prepares the return.
PPBThe Pharmacy and Poisons Board. Pharmacies and health businesses file with it, and Hesalio prepares those filings.
Withholding tax and the tax calendarHesalio tracks tax a customer withholds from what they pay you, with their certificate, and tax you withhold from suppliers. It records what you remit to KRA and estimates late charges. The calendar shows what is due to KRA, NSSF and SHA, what is paid and what is late.
Credit and debit notesCorrect an invoice line by line. A partial credit note gives back part of it and a debit note adds a charge. Each goes to KRA with its own number.
Cancelling an invoiceAn invoice KRA has not accepted can be cancelled, which reverses the books and returns the stock. One KRA has accepted is corrected with a credit note instead. You can require a second person to approve first.
Deductible purchasesKRA checks claimed expenses against the supplier's eTIMS invoice. Hesalio flags bills with no supplier PIN or invoice number, because they may not be deductible.
